Effective from 25 September 2026

  1. Who we are

1.1 Funds4School is a trading name of Bang On Print & Design Ltd, a company registered in England and Wales under company number 08123506. Our registered address is Unit 6 Mandale Park, Lemington Road, Lemington, Newcastle upon Tyne, NE15 8BU. Our VAT number is GB140024181.

1.2 You can contact us by email at funds4school@bangonprint.co.uk or by telephone on 0191 466 1125. Questions about personal data go to privacy@funds4school.co.uk.

1.3 We design, print, make and pack every Funds4School product ourselves, in our own print works in Newcastle upon Tyne.

  1. Who these terms apply to

2.1 These terms apply to three groups of people:

(a) schools, nurseries, PTAs and other organisations that run a Funds4School campaign (the “school”);
(b) the person who registers and runs the campaign on the school’s behalf (the “organiser”); and
(c) parents, carers and family members who buy products in the Parents Shop (“you” in Part B).

2.2 Part A applies to schools and organisers. Part B applies to parents and families. Part C applies to everyone.

2.3 By registering an organiser account, ordering art forms or placing an order in the Parents Shop, you agree to these terms. Please read the part that applies to you.

  1. Words we use

3.1 In these terms:
“Organiser account” means the school’s account on funds4school.co.uk.
“Project pack” means the materials we send to the school for the campaign.
“Art forms” means the coded forms the children draw on.
“Artwork code” means the unique code printed on a child’s art form and personalised postcard.
“Personalised postcard” means the card we send home with each child showing their artwork and artwork code.
“Parents Shop” means the online shop where families order products.
“Organiser guide” means the guide we supply to organisers.
“Working day” means Monday to Friday, excluding bank holidays in England.

PART A: SCHOOLS AND ORGANISERS

  1. Taking part

4.1 There is no charge to the school for taking part. The project pack, art forms, courier collection of the artwork, personalised postcards and delivery of finished orders to the school are all provided free of charge.

4.2 Registering an organiser account does not commit the school to running a campaign. A school may withdraw at any time by emailing us. If it withdraws after its Parents Shop has opened, every parent order for that school is refunded in full.

4.3 The organiser confirms that they are authorised by the school to register it, to agree to these terms on its behalf, to supply pupil information and to receive commission for it.

4.4 Before any pupil information is added to the organiser account, the school must enter into our Data Processing Agreement. We act on the school’s instructions for pupil information, as set out in that agreement and in our Privacy Notice.

4.5 We may decline or close a registration at our discretion, for example where we cannot verify the organiser or the school.

  1. The organiser account and school information

5.1 The organiser is responsible for the day to day running of the campaign within the school, including handing out art forms, collecting the finished artwork, booking its collection, handing out personalised postcards and distributing finished orders.

5.2 The school must add its classes and pupils before art forms can be ordered. This is done by entering them in the organiser account or by importing our CSV template. We do not convert or reformat class and pupil lists, so the school must import its information in the format of the template. We are happy to answer questions by email.

5.3 Pupil names and classes are printed on the art forms and used on the personalised postcards exactly as the school supplies them. Please check them carefully before ordering art forms. We cannot reprint forms or postcards free of charge because of errors in the information supplied.

5.4 Once art forms are ordered, the classes and artwork codes are locked. If a change is needed, the organiser should email funds4school@bangonprint.co.uk and we will unlock the account.

5.5 A school that prefers not to supply pupil names may choose blank art forms, which the children or teachers complete by hand. Handwriting must be clear and in the fields provided, or we may not be able to match the artwork to the child.

5.6 The school must give us accurate delivery addresses and let us know its term dates and any days when it cannot receive deliveries. We are not responsible for delays caused by a delivery that cannot be completed because the school is closed or the address is incorrect.

5.7 If the school uploads its logo, the organiser confirms the school has the right to use it and permits us to print it on campaign materials and products for that school.

  1. The project pack

6.1 The project pack is sent automatically once the organiser clicks Order Art Forms. We aim to have it at the school within 3 working days.

6.2 The project pack contains the coded art forms, grouped by class in envelopes, with at least 10% spare forms for spoilt drawings; the organiser guide; a teacher’s guide and return guide; stencils for nursery and Key Stage 1; an inspiration poster; and a courier box for returning the artwork.

6.3 Art forms are unique to each child and are read by our scanning equipment. Please use only the art forms we supply. Photocopied or home made forms cannot be processed.

  1. The artwork

7.1 Children should draw on the reverse of their own art form, inside the black box and the right way up as shown by the arrow. Anything drawn outside the box will not appear on the products.

7.2 For the best results, please use water based paint, coloured felt tip pens or coloured pencils. Please do not use glitter, stuck on items, metallic pens, chalk, pastels, charcoal or graphite pencils, and please do not photocopy artwork. We will do our best with artwork that does not follow these guidelines, but detail and colour may be lost.

7.3 Please keep the completed art forms together and sorted by class, pack them in the courier box supplied and book the collection through the organiser account.

7.4 We scan artwork on the day it arrives or the next working day. Each drawing is cropped to the box and given a standard colour and sharpness adjustment so that it prints well across the range. We do not retouch or redraw children’s artwork.

7.5 If an art form arrives damaged, unreadable, without a valid artwork code, or with artwork we cannot reproduce, we will try to match and process it. If we cannot, that child’s artwork will not be available in the Parents Shop and we will tell the organiser.

7.6 Original art forms are not returned. Once scanned and checked they are securely and confidentially shredded. If a family would like to keep an original drawing, please photograph it before it is sent to us.

  1. Campaign lanes and key dates

8.1 Each campaign runs in one of three lanes. The lane is set by the date the school’s artwork reaches us, and it decides the school’s commission rate, how long parents have to order and when the finished orders arrive. The lanes and dates for the current season are set out in the Key Dates section below and on our How It Works page.

8.2 Lane dates are the latest dates we can accept artwork for that lane. They are not targets. We produce in the order artwork reaches us, so a school that sends its artwork earlier receives its postcards, its ordering window and its finished orders earlier.

8.3 Artwork is treated as reaching us on the day it is collected by our courier. If the organiser has booked a collection through the organiser account for a date on or before a lane deadline and the courier fails to collect, the school keeps that lane, provided the organiser tells us within 1 working day of the missed collection.

8.4 We aim to have personalised postcards at the school within 3 to 4 working days of receiving the completed art forms.

8.5 The final artwork deadline for Christmas delivery is firm. Artwork reaching us after that date cannot be produced for Christmas, and we are not able to make exceptions. If you think the school may miss it, please talk to us before the date.

8.6 Our last Christmas delivery date is final. No Christmas orders are delivered after it.

  1. Commission

9.1 The school earns commission on every order placed in the Parents Shop for its campaign. The rate is 25%, 20% or 15% depending on the lane, as set out in the Key Dates section.

9.2 Commission is calculated on the value of paid orders excluding VAT, less any orders refunded. It is not payable on delivery charges, on orders later cancelled or refunded, or on orders placed outside the school’s campaign.

9.3 The organiser can see the school’s sales and commission in the organiser account at any time.

9.4 Commission is paid by bank transfer, in January following the campaign, to the bank account entered in the organiser account. The account must be held in the name of the school, trust or PTA. We do not pay commission by cheque or to a personal account.

9.5 If no bank details have been provided, we will remind the organiser by email. Unclaimed commission is held for 2 years from the end of the term in which the campaign ran, after which it is no longer payable.

9.6 The school does not receive an invoice, because parents pay us directly. A sales report is available from the organiser account.

  1. Delivery of finished orders to the school

10.1 Finished orders are delivered to the school, packed by class and labelled for each child, with a packing list. Delivery to the school is free of charge.

10.2 Products are made at different speeds, so an order may arrive in more than one delivery.

10.3 We use tracked courier services. A signature or photograph from the courier showing delivery to the school address is accepted as proof of delivery.

10.4 Once delivered, the school is responsible for storing the products safely and handing them to the right families.

  1. Checking deliveries and reporting problems

11.1 The organiser must check each delivery against the packing list before handing products out, and report anything missing or damaged in transit to funds4school@bangonprint.co.uk within 2 working days of delivery, with photographs where possible.

11.2 If nothing is reported within that time, we will treat the delivery as complete. We cannot replace items reported missing after they have been handed out.

11.3 Items lost in transit or reported missing or damaged under clause 11.1 are dealt with under our Refunds and Returns Policy: replaced to the school before the end of term where possible, or otherwise refunded or reprinted free of charge, as the parent chooses.

PART B: PARENTS AND FAMILIES

  1. Ordering in the Parents Shop

12.1 Your child brings home a personalised postcard showing their artwork and their artwork code. Enter the code in the Parents Shop to see your child’s artwork on each product before you buy.

12.2 Orders can be placed only during your school’s ordering window, which is printed on the postcard. The Parents Shop closes for your school at the end of that window.

12.3 Orders are placed and paid for online only. We cannot take orders by telephone, cash or cheque.

12.4 Your contract with us is formed when we send your order confirmation email. Please check your order carefully before you pay, including any names or text you enter, as products are printed exactly as shown in your preview and entered in your order.

12.5 All orders are delivered to your child’s school for collection. Home delivery is used only for free reprints and late deliveries under our Refunds and Returns Policy.

  1. Prices and payment

13.1 Prices are shown in pounds sterling and include VAT where it applies. Some products, such as children’s clothing and books, are zero rated for VAT.

13.2 Payment is taken in full when you order, by debit or credit card, through our payment provider Stripe. We do not see or store your card details.

13.3 Part of the price of every product goes to your child’s school as commission. You do not pay anything extra for this.

13.4 If a price is shown in error, we will contact you before producing your order and you may cancel for a full refund.

  1. Personalised products and cancellation

14.1 Every product is made to order and personalised with your child’s artwork. Under the Consumer Contracts Regulations 2013, personalised goods are not covered by the 14 day right to cancel.

14.2 Nothing is made until your school’s ordering window closes, so you can change or cancel an order free of charge by emailing funds4school@bangonprint.co.uk until then. After it closes, production begins and the order cannot be changed or cancelled.

14.3 If we cannot make or deliver your order for any reason, we will refund you in full, and the commission on that order will not be paid to the school.

  1. What to expect from your products

15.1 You see your child’s own artwork on the product before you order, and we make the product to match that preview as closely as the product allows.

15.2 Children use a wide range of colours and materials, and printers, screens and product surfaces all reproduce colour differently. Colours will be a close match to the original rather than an exact one.

15.3 Artwork is sized to fit each product, so it may be cropped slightly or reduced to fit, and will not always appear at its original size.

15.4 Blank products such as mugs, textiles and bears come from batches, so base colours may vary slightly between items.

  1. If something is wrong with your order

16.1 If a product arrives faulty, damaged or not as shown in your preview, please email funds4school@bangonprint.co.uk with your order number and a photograph of the problem.

16.2 If the problem is our error, a fault or damage, you choose a free reprint or a full refund of the item. You will not normally need to send the item back; if we do need it, we will send a prepaid label. We reply within 2 working days.

16.3 Problems reported by Friday 11 December are reprinted and sent to the school before the end of term wherever possible. After that date, you choose a refund or a free reprint delivered to your home in January. If your order reaches the school late through our fault, you may choose a refund or free home delivery.

16.4 Refunds are issued within 5 working days of being agreed, to the card used to pay. Full details are in our Refunds and Returns Policy.

16.5 The following are not faults: normal colour variation, cropping of anything drawn outside the box, results of artwork that did not follow the guidelines in clause 7.2, details visible in your preview that were not raised before ordering, choosing the wrong product or size, or errors in names or text you entered yourself. We will still look at each case fairly.

16.6 Nothing in these terms affects your legal rights under the Consumer Rights Act 2015. Products must be of satisfactory quality, fit for purpose and as described.

  1. Collecting your order

17.1 Your order is delivered to the school with the rest of the school’s orders and is handed out by the school. If your child’s order has not reached you, please ask the school first, as the organiser checks every delivery against a packing list. If it is still missing, email us with your order number.

PART C: EVERYONE

  1. Children’s artwork

18.1 Children’s artwork belongs to the child and their family. We do not claim ownership of it.

18.2 By sending artwork to us, the school and family allow us to use it only to run the campaign: to scan it, show it to that child’s family in the Parents Shop, and print the products they order.

18.3 We do not use children’s artwork, names or photographs of products carrying them in our advertising, on social media or on our website without written permission from the family.

  1. Data protection

19.1 For pupil information supplied by the school, we act as the school’s data processor under our Data Processing Agreement. For information that parents and organisers give us directly, we are the data controller. How we collect, use, keep and delete personal information is explained in our Privacy Notice at funds4school.co.uk/privacy-policy.

19.2 In summary, pupil information is deleted when the campaign is complete and within 30 days at most, paper art forms are shredded once digitised, and pupil information is never used for marketing to families or shared with other schools.

  1. Safeguarding

20.1 Before supplying pupil information, the school confirms that it has checked it against its safeguarding records, and that it is appropriate for each named child to take part and to have their name and artwork on the personalised postcard and products. If a child should not take part, please remove them from the class list or tell us before ordering art forms.

  1. Events outside our control

21.1 We are not responsible for delays or failure to perform caused by events outside our reasonable control, such as severe weather, courier disruption, industrial action by others, supplier failure, power or internet failure, illness outbreaks or government restrictions.

21.2 If this happens, we will tell the organiser as soon as we can, keep the school updated, and do everything we reasonably can to deliver before the last Christmas delivery date. Where an order cannot be delivered in time, we will refund the parent in full.

  1. Our responsibility to you

22.1 Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law.

22.2 For parents, we are responsible for loss or damage you suffer that is a foreseeable result of our breaking these terms or failing to use reasonable care and skill. We only supply products for domestic and private use.

22.3 For schools, our total liability arising from a campaign is limited to the commission payable to the school for that campaign. We are not liable to a school for loss of fundraising income, loss of opportunity or indirect loss.

  1. Questions and complaints

23.1 If you are unhappy with anything we have done, please email funds4school@bangonprint.co.uk. We reply within 2 working days. If you are not satisfied with our reply, our Director will review it and respond within 10 working days.

23.2 Complaints about how we handle personal information follow our Complaints Procedure, published at funds4school.co.uk/privacy-policy.

  1. Using our website

24.1 The content and design of funds4school.co.uk belong to us. You may view and print pages for your own use in running or taking part in a campaign.

24.2 Organisers and parents are responsible for keeping their login details private and for activity on their account.

24.3 We aim to keep the website available at all times, but we do not guarantee it will always be uninterrupted or free of errors.

  1. Changes to these terms

25.1 We may update these terms from time to time. The version in force when a school orders its art forms applies to that campaign, and the version in force when a parent places an order applies to that order.

  1. Law

26.1 These terms are governed by the law of England and Wales. Parents living in Scotland or Northern Ireland may also bring proceedings in their local courts.
